It is a web application that facilitates considerably the management of all the documentation related to subcontracting (companies, employees, machines, etc.) and that allows to have a full control over the documents required for business coordination:

Can I access information from any workplace or center?

Can I access information from any workplace or center?

Yes. MetaContratas is a SaaS web application (Software as a Service), so you can get access from any center or workplace with an internet connection. MetaContratas is designed to:

  • Companies with a workplace
  • Companies with many workplaces
  • Company group with their respective workplaces

The information is available instantly, getting to know whether an employee has permission to enter the workplace.

We have all the possible options available according to the setting and what was required as the most convenient. So, information can be entered by subcontracts, the main company or even a third company managing all this documentation.

It is also available a mixed option. This option would allow, for example, certain subcontracts may enter directly the documentation and other subcontracts may send it to the main company or manager to be entered.

Either way, the final result is a database with the documentation centralized and available from any workplace or center of the main company.

NO. There could be may types of users, each one with different rights and permissions according to what they can do or which workplaces and documents they can manage (the app can be set up so that the users can only have access to the documents affecting their departments). The app can also be set up assigning different languages to each user.

How can clients, companies, main contractors, etc., access the information and documents?

When a contracting company were not the app manager (i.e., a temporary employment agency has many contracting clients), there are two ways to send to the users the information and documents:

You can provide them an user so that they can access directly and check the information and documentation required (of employees and machines).

Of course, they could only have access to the documentation they are concerned

You can export the information and documentation needed with an export tool. It will provide an Excel spreadsheet with a list of companies and employees, and the resulting information of the documentation status by means of a colour code.
The documents could be linked to the Excel spreadsheet to be displayed with no need to access to the platform.

Which documents may be managed?

Which documents may be managed?

The contractor can define all those documents to be required. Each document is assigned a validity time, as well as a notice period. The application will send automatically an e-mail to the subcontract every time the document is about to expire, according to the notice days defined for each document.

The documents may relate to companies, employees or machines and vehicles and may be also related to Occupational Risk Prevention, Social Security or any other technical or administrative document.

It is managed at both levels. With MetaContratas, you can get to know all the documentation required to a subcontract and which is already provided, but also you can have a detailed knowledge of each subcontracted employee and/or machine

NO. With MetaContratas, managers can define “special situations” for those activities which require extra documentation. Companies, for example, depending on job function (crane operator, high altitude work, freelancers, foreign workers, etc.)

Employees will be asked to provide documents generally required to all employees of their company, in addition to those required if they meet one or more special situations.

From certain documents, YES. In the case of certain official documents, when the document is entered in the application, two processes take place:

Employees matching with the document uploaded and the MetaContratas applcation, information is automatically extracted and the database is updated.

Unnecessary information (economic, bonus, etc.) is hidden, as well as those employees not working with the contractor in compliance with the GDPR.
When an automatically-processing document of a subcontract working for different subcontracting companies, the application creates a document for each of them, leaving visible the information of the employees of each contractor

Can the contractor send information to the subcontracts?

Yes. There is a feature with which the contractor upload the documents so that the subcontract may download them from the application. Those documents may be general or specific to a workplace or center (safety plan, videos, etc.)

This way, there is a centralized site to enter the docmentation for the subcontracts.

– QR scan for access control. You could know if an user has all the documentation in order and validated in OK just scanning a QR code. Save problems, so that you will know that every employee in the workplaces has the documentation up-to-date and in order.

– Voice search: You can search for employees just by saying their names. No need to touch your device if you are wearing gloves.
